More capable software does not solve a workflow in which ratings and filenames change independently in several places. Evaluate each tool by the reliable handoff it can make to the next stage.

01

Assign one authority for each production state.

Choose where selection, image or sound work, titles and keywords, exports, and submission status are finalized.

If an item can change in several tools, define the synchronization direction and the moment it occurs.

02

Define the file and information at every handoff.

Separate originals, reproducible masters, intermediate files, and destination exports. Confirm the color, audio, resolution, filename, and metadata required downstream.

Unnecessary conversions can consume time and reduce quality.

03

Test automation as a round trip.

Metadata and ratings may not retain identical meaning across applications. Use a test asset to write, read, revise, and read again.

Avoid settings that overwrite originals until their behavior is understood.

A useful integration does more than connect; it removes doubt about which record is authoritative.
04

Keep durable records outside one vendor.

Do not trap accepted-asset identity, rights links, destinations, states, and dates inside one application. Preserve them in readable exports or a separate ledger.

When changing tools, migrate a small set and prove recovery and export before moving active work.
